1. INTRODUCTION
Welcome to Free Flow Basketball. By enrolling your child in any of our programs — including youth training programs, local competitions, competitive tournaments, or holiday camps — you (“the Parent/Guardian”) agree to be bound by these Terms and Conditions on behalf of yourself and the participant (“the Participant”).

Please read this document carefully before signing it. If you have any questions, please contact us prior to enrolment.

2. PROGRAMS & ELIGIBILITY
Free Flow Basketball offers the following programs across multiple Sydney locations: Youth Training Programs, Local Competitions, Competitive Tournaments, and Holiday Camps. Full details on program offerings, schedules, locations, and fees are available on our website.

2.1 LOCAL COMPETITION AGE ELIGIBILITY
Each local competition operates under its own age eligibility rules as set by the relevant association. By enrolling your child in a local competition, you confirm that the participant meets the eligibility requirements for their nominated age group.

AUBURN WILDCATS
Players must not turn the listed age during the calendar year of competition. In competitions that carry over across years, players must not turn the listed age prior to 31 December of the year competition commences.

BANKSTOWN BRUINS
Players must not turn the nominated age before or on 31 December of the calendar year of competition. Proof of age (original ID showing legal name and date of birth) must be provided at the time of initial registration with the association.

AUBURN PCYC
Players are placed into age groups based on the year they were born. Children born in 2015 or later are eligible for U10; children born in 2013 or later are eligible for U12. Players born after the listed year are also eligible for that age group.

NORTH SYDNEY
Age eligibility is governed by Basketball NSW (BNSW) and the North Sydney Basketball Association (NSBA). The following birth year requirements apply:

• U14s: Born no earlier than 2013
• U16s: Born no earlier than 2011
• U19s: Born no earlier than 2008

2.2 COMPETITIVE TOURNAMENT AGE ELIGIBILITY
Tournament age eligibility is governed by the rules of the relevant tournament organiser (e.g. AAU) and will be communicated to families at the time of selection. Participation in competitive tournaments is subject to team selection and availability.

3. FEES & REFUND POLICY
All program fees are published on our website and confirmed at the time of registration. Enrolment is not guaranteed until full payment or an agreed payment arrangement has been received. The following refund terms apply depending on the program type.

3.1 TRAINING SESSIONS & HOLIDAY CAMPS
We understand that circumstances change. Our refund policy is designed to be fair while maintaining program quality. For all training sessions (Roots, Academy, Elite) and Holiday Camps, refund requests are assessed in the following order of priority:

  1. Makeup Class — where operationally possible, a missed session may be made up in an equivalent session at another time or location. Makeup classes are subject to availability and must be requested within the same term or camp period.

  2. Credit — if a makeup class is not available or suitable, a credit to the value of the missed or cancelled sessions will be issued. Credits are redeemable against any Free Flow Basketball program, product, or service and do not expire.

  3. Refund — a monetary refund will be considered only where neither a makeup class nor a credit is a reasonable outcome. Refund requests must be submitted in writing to Free Flow Basketball management. Refunds will not be issued for change of mind once a program has commenced.

Each participant is entitled to one (1) makeup class, credit, or refund per season. Once this entitlement has been used, no further makeup classes, credits, or refunds will be issued for that season regardless of the circumstances.

Voluntary withdrawal without a medical or travel reason is not eligible for a refund or credit.

If a session or camp is cancelled by Free Flow Basketball (e.g. due to insufficient numbers, weather, or unforeseen circumstances), families will receive either a makeup session or a credit. No monetary refund will be issued in the event of a Free Flow Basketball-initiated cancellation.

3.2 MULTI-TRAINING DISCOUNTS
The following discounts apply to participants who sign up for more than one training session per week on a full term lock-in basis. Discounts apply to training sessions only and do not apply to holiday camps, competitions, or tournaments.

• 2 trainings per week: 15% off the total term lock-in price
• 3 trainings per week: 25% off the total term lock-in price

For example, a player signing up for 3 trainings per week will receive 25% off the combined total — not separate discounts applied to each individual session.

All sessions must be booked together at the time of enrolment to receive the discount. Discounts are not available for drop-in sessions and cannot be applied retrospectively.

3.3 LOCAL COMPETITIONS
Once a participant is registered in a local competition, fees paid to Free Flow Basketball cover game coaching and, where applicable, court fees for the duration of the season. Due to the nature of competition registrations — which involve commitments to external associations — the following policy applies:

• No refund will be issued once the competition season has commenced.
• If a player is unable to attend an individual game for any reason — including medical or family circumstances — no refund will be issued for that game. This applies to one-off absences only and is separate from the withdrawal policy outlined above.
• Prior to the season commencing, a credit may be offered at Free Flow Basketball’s discretion.
• Voluntary withdrawal without a medical or travel reason is not eligible for a refund or credit.
• Exception — Medical or Travel: If a participant is unable to compete due to a medical condition or travel, a special refund request may be submitted by emailing admin@freeflowbasketball.com. Requests must include supporting documentation (e.g. medical certificate) and will be assessed on a case-by-case basis.

3.3.1 LATE JOINERS
Players who join a local competition after the season has commenced are subject to the following payment terms:

• If a player joins at any point during the first term of the two-term season, the full season fee is payable regardless of how many rounds have already been played.
• If a player joins during the second term of the season, only half the season fee is payable.

No pro-rata adjustments will be made for games missed prior to joining. By registering mid-season, the parent/guardian accepts these payment terms in full.

Please note that third-party fees paid directly to associations (e.g. membership fees, per-game fees) are governed by the respective association’s own refund policy and are outside the control of Free Flow Basketball.

3.3.2 TEAM ALLOCATION
Free Flow Basketball allocates players to teams based on the following policy:

• Players who are enrolled in Free Flow Basketball training programs will be placed on the same team as fellow training participants where possible.
• Players who are not enrolled in a training program will be grouped together on a separate team.
• This structure ensures consistency in team chemistry, communication, and game preparation.

Exception — Parent & Player Requests: If multiple families wish for their children to be placed on the same team, we are happy to accommodate this where possible. Requests must be made with sufficient notice prior to team registration to allow us to organise accordingly. Please email us at admin@freeflowbasketball.com to submit a request.

3.4 COMPETITIVE TOURNAMENTS
Tournament fees are committed upon registration and are generally non-refundable due to the advance planning and costs involved. The following terms apply:

• No refund will be issued for withdrawal from a tournament once fees have been paid.
• Voluntary withdrawal without a medical or travel reason is not eligible for a refund or credit.
• Exception — Medical or Travel: If a participant is unable to attend a tournament due to a medical condition or travel, a special refund request may be submitted by emailing admin@freeflowbasketball.com. Requests must include supporting documentation and will be assessed on a case-by-case basis.
• If a tournament is cancelled by the organiser, Free Flow Basketball will work with families to arrange a credit or refund where possible.

For all special refund requests, please contact us as early as possible. Late requests may limit the options available.

3.5 SIBLING DISCOUNT
Families with more than one child enrolled in Free Flow Basketball are eligible for a 20% sibling discount. The following terms apply:

• The 20% discount applies to the second sibling’s fee for the same program type. Both siblings must be enrolled in the same type of program (e.g. both in local competitions, or both in training sessions) for the discount to apply.
• For example, if one sibling trains and one plays in a local competition, no sibling discount applies. If both siblings play in a local competition, the 20% discount applies to the second sibling’s registration fee. If both siblings train, the 20% discount applies to the second sibling’s term lock-in fee.
• The discount applies to training sessions and local competitions only. It does not apply to holiday camps, competitive tournaments, or uniform purchases.
• Both siblings must be enrolled at the same time to receive the discount. The discount cannot be applied retrospectively.
• The sibling discount cannot be combined with the multi-training discount (Section 3.2). The greater discount will apply.

To apply the sibling discount, please notify us at the time of registration by emailing admin@freeflowbasketball.com.

3.6 PLAYER UNIFORMS
Uniforms are required for participation in competitive tournaments. The following terms apply to all uniform orders:

• It is the responsibility of the parent/guardian or participant to complete and submit the uniform order form by the specified deadline. Uniforms will not be ordered on behalf of any participant who has not submitted their form.
• Uniforms take 3–4 weeks to arrive after the order is placed. Failure to submit the uniform order form on time may result in the participant not receiving their uniform before competition. Free Flow Basketball accepts no responsibility for late or missing uniforms where the order form was not submitted.
• Free Flow Basketball will provide an accurate size chart at the time of purchase. It is the responsibility of the parent/guardian to review the size chart carefully and select the correct size before completing their order.
• If the uniform does not fit due to an incorrect size being selected by the parent/guardian, a replacement uniform must be purchased at full cost. No exchange or refund will be provided.
• If the participant’s name is misspelt on the uniform due to an error made by the parent/guardian at the time of ordering, a replacement uniform must be purchased at full cost. No exchange or refund will be provided.
• No refund or credit will be issued for uniform purchases under any circumstances once an order has been placed, including voluntary withdrawal from the program.
• Free Flow Basketball will not be held responsible for sizing or naming errors where the correct information was available at the time of order.

Please double-check all name spelling and size selections before submitting your uniform order, as orders cannot be amended once placed.

4. PARTICIPATION & CONDUCT

4.1 CODE OF CONDUCT
All participants, parents, and guardians are expected to:

• Treat coaches, staff, other participants, and spectators with respect at all times
• Arrive on time and be prepared for training or games
• Follow the reasonable directions of coaches and Free Flow Basketball staff
• Refrain from aggressive, bullying, or discriminatory behaviour of any kind
• Respect the facilities and equipment used across all locations

Free Flow Basketball reserves the right to suspend or remove any participant or parent/guardian who fails to meet these standards. No refund will be issued in cases of removal due to conduct.

4.2 ATTENDANCE
Regular attendance is encouraged to ensure the best experience for all participants. Please notify us in advance if your child is unable to attend a session, game, or camp. If a session, game, or camp is missed without prior notice, no refund or credit will be issued under any circumstances.

If a participant stops attending without notice, their spot on the team may be forfeited and offered to another player. Free Flow Basketball reserves the right to make this decision at its discretion to ensure team continuity and fairness to other participants.

5. HEALTH, SAFETY & MEDICAL INFORMATION

5.1 MEDICAL DISCLOSURE
Parents/Guardians must disclose any relevant medical conditions, physical limitations, allergies, or disabilities that may affect the participant’s ability to safely take part in physical activity. This information must be provided at the time of enrolment and updated promptly if circumstances change.

5.2 FITNESS TO PARTICIPATE
By enrolling your child, you confirm that the participant is in suitable physical health to participate in basketball activities. If a participant becomes injured or unwell, the parent/guardian accepts responsibility for informing Free Flow Basketball immediately.

5.3 EMERGENCY MEDICAL TREATMENT
In the event of an emergency where a parent or guardian cannot be reached, Free Flow Basketball staff are authorised to seek and consent to emergency medical treatment on behalf of the participant. All reasonable efforts will be made to contact the nominated emergency contact prior to any action being taken.

5.4 FIRST AID & STAFF CREDENTIALS
Free Flow Basketball staff hold current first aid qualifications and valid Working With Children Checks (WWCC) as required under NSW law. Basic first aid will be administered as required. An incident report will be completed for any injury that occurs during a Free Flow Basketball program.

6. COMMUNICATION
Free Flow Basketball will communicate with families regarding program updates, schedule changes, cancellations, and other important notices via the following channels:

• Email — to the address provided at the time of registration
• WhatsApp — via group chats or direct message where applicable
• 360Player — through the participant’s registered account on the platform

It is the responsibility of the parent/guardian to ensure their contact details are kept up to date and that they are actively monitoring these channels. Free Flow Basketball will not be held responsible for missed communications where contact details are outdated or messages go unread.

Important notices (e.g. session cancellations, venue changes) will be sent with as much notice as reasonably possible. By enrolling, you agree to receive communications from Free Flow Basketball via the above channels.

7. PAYMENT TERMS
All fees are due at the time of registration unless a payment arrangement has been agreed upon in writing with Free Flow Basketball management. The following terms apply to overdue payments:

• If a payment is missed or fails, Free Flow Basketball will work with the family to establish a suitable repayment plan wherever possible.
• If a payment remains outstanding for 6 weeks or more without communication from the parent/guardian regarding when it will be resolved, Free Flow Basketball reserves the right to suspend the participant from training, games, or camps, or to remove them from the program entirely.
• Free Flow Basketball will always attempt to make contact before taking action. Families are encouraged to reach out proactively if they are experiencing difficulty with payments.

Please contact us at admin@freeflowbasketball.com as early as possible if you anticipate difficulty meeting a payment deadline.

8. SUPERVISION & COLLECTION
Participants will be supervised during scheduled program times only. It is the responsibility of the parent/guardian to ensure participants are collected promptly at the conclusion of each session. If a participant is not collected within a reasonable time, Free Flow Basketball reserves the right to contact the nominated emergency contact or relevant authorities.

For younger age groups (Under 10s and Under 12s), participants must be signed in and out by a parent, guardian, or authorised adult nominated at registration.

9. PHOTOGRAPHY, VIDEO & MEDIA CONSENT
Free Flow Basketball may photograph or film participants during training sessions, games, camps, and events for the purposes of:

• Promotional and marketing materials (website, social media, print)
• Internal coaching and development review
• Documenting program highlights and milestones

By enrolling your child, you grant Free Flow Basketball a non-exclusive, royalty-free licence to use images or video footage of the participant for the above purposes. Images will not be used in any way that identifies a minor by full name without explicit written consent.

If you do NOT consent to your child being photographed or filmed, you must notify us in writing at the time of enrolment. We will make reasonable efforts to exclude non-consenting participants from all captured media.

10. LIABILITY & RISK ACKNOWLEDGEMENT

10.1 ACKNOWLEDGEMENT OF RISK
Basketball is a physical sport that carries inherent risks of injury. By enrolling your child, you acknowledge and accept that participation involves physical activity and that injuries, minor or otherwise, may occur despite reasonable precautions being taken. This applies to all training sessions, games, camps, and tournament events.

10.2 LIMITATION OF LIABILITY
To the maximum extent permitted by law, Free Flow Basketball and its coaches, staff, volunteers, and agents will not be liable for any injury, loss, damage, or expense suffered by the participant or parent/guardian arising from participation in any Free Flow Basketball program, except where caused by the negligence or wilful misconduct of Free Flow Basketball staff.

Nothing in these Terms limits rights under the Australian Consumer Law or any other non-excludable consumer guarantee.

11. PARENT & PARTICIPANT CONDUCT

11.1 SIDELINE BEHAVIOUR
Free Flow Basketball is committed to providing a positive and respectful environment for all participants, coaches, staff, referees, and spectators. Parents and guardians are expected to model positive behaviour at all times. The following conduct is not acceptable at any Free Flow Basketball session, game, camp, or event:

• Verbal abuse or aggressive behaviour directed at coaches, referees, opposition players, or other spectators
• Coaching or instructing players from the sideline in a manner that contradicts or undermines the coach
• Using offensive, discriminatory, or threatening language
• Interfering with the running of a session or game

Any parent or guardian found to be in breach of these expectations will receive a formal warning. If the behaviour continues or is severe, Free Flow Basketball reserves the right to remove the parent/guardian from the venue and, in serious cases, withdraw the participant from the program. No refund will be issued in such circumstances.

11.2 ONLINE & SOCIAL MEDIA CONDUCT
The same standards of respect and conduct apply to Free Flow Basketball’s online channels, including WhatsApp group chats, Instagram, Facebook, TikTok, and any other digital communication platform. Parents, guardians, and participants must not:

• Post or send abusive, threatening, or defamatory content directed at Free Flow Basketball, its staff, coaches, or other families
• Share private information about other participants or families without consent
• Use Free Flow Basketball’s social media pages or group chats to air personal grievances publicly

Any individual found to be in breach of this policy will receive a warning. Continued or serious breaches may result in removal from group chats, blocking from social media channels, and/or withdrawal from the program at Free Flow Basketball’s discretion.

11.3 BEHAVIOUR AT AWAY EVENTS & TOURNAMENTS
When representing Free Flow Basketball at tournaments, away fixtures, or any external venue, all participants and accompanying parents/guardians are expected to uphold the values and standards of the program at all times. This includes behaviour at the venue, in transit, and in shared accommodation where applicable. Any misconduct at external events may result in disciplinary action including removal from the program.

11.4 ACKNOWLEDGEMENT OF COMPETITION RULES
By enrolling a participant in a local competition or tournament, the parent/guardian agrees to take responsibility for informing the participant of the rules, expectations, and eligibility requirements of the relevant competition. Free Flow Basketball will provide guidance, but it is ultimately the family’s responsibility to ensure the participant understands and complies with competition rules.

12. PRIVACY & PERSONAL INFORMATION
Free Flow Basketball collects personal information (including medical and contact details) for the purpose of administering programs, ensuring participant safety, and communicating with families. We handle all personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

We will not sell or share your information with third parties except as required by law or where necessary to deliver our programs (e.g. venue operators, medical personnel). You may request access to or correction of your personal information at any time by contacting us.

13. FORCE MAJEURE
Free Flow Basketball will not be in breach of these Terms, and will not be liable for any failure or delay in performing its obligations, where such failure or delay results from circumstances beyond its reasonable control. This includes but is not limited to:

• Pandemic, epidemic, or public health emergency
• Natural disaster, severe weather, or fire
• Venue closure or loss of access to facilities
• Government-imposed restrictions or directions
• Acts of God or other unforeseeable events

In such circumstances, Free Flow Basketball will make every reasonable effort to reschedule affected sessions or provide a credit where possible. No monetary refund will be issued for cancellations caused by force majeure events.

14. CHANGES TO PROGRAMS
Free Flow Basketball reserves the right to:

• Amend session times, locations, coaches, or program content with reasonable notice
• Cancel or reschedule sessions due to weather, venue unavailability, public holidays, or insufficient participant numbers
• Modify these Terms and Conditions at any time, with the updated version to apply to future enrolments

You will be notified of any material changes to program terms via email, WhatsApp, or 360Player.

15. GENERAL
These Terms and Conditions are governed by the laws of New South Wales, Australia. Any dispute arising from your participation in a Free Flow Basketball program will be subject to the exclusive jurisdiction of the courts of New South Wales.

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

PARTICIPANT ENROLMENT & CONSENT FORM
By signing below, I confirm that:

• I am the parent or legal guardian of the participant named below
• I have read and understood these Terms and Conditions in full
• I agree to be bound by these Terms on behalf of myself and the participant
• All information provided is true and accurate to the best of my knowledge
